5/7/17 | Meeting Summary

Board Meeting: During the board meeting we first addressed the possibility of having a social event in June; however, since many will be extremely busy with final exams and others may be traveling, etc., we decided that it would be best to not do anything in June as if we were to do something, we would require a good turn out. Additionally, we discussed potentially moving the meeting time back to 5:30 so that the board meeting could start at 5, general meeting at 5:30, and we would finish by 7:30. We also talked about this in the general meeting and because there was such a large split in preference, we decided to wait on parents’ inputs and we may send out a form to get actual numbers. Another thing that we discussed was spliting up meetings for next year such that every meeting has a different focus (social, community service, discussion, leadership, etc). We really want to look into doing our best to optimize the time that we have to build a strong community and are able to make the biggest difference that we can with the community service that we do. We also talked about sending out a form to see who will be returning to IAYG in the fall. To make sure that all the newer (especially younger) members feel welcome in the fall, we are going to see if we can try to make some sort of mentor system with pairings as we did last year; however, we hope to make it more effective and structured this year. The last thing that we talked about was attendance. Given that there are only 7-9 meetings in a year, we decided that the maximum absences from meetings for board members and those who hope to apply to be on the board in the following year will be 2-3.

 

General Meeting: We started the meeting off by talking about some of the general changes for this coming year: 1. accountability and maximum absences for those who hope to apply to be on the board and for those who already hold a position on the board 2. structure of meeting — we plan to have a focus for every meeting (social, community service, discussion, leadership module, etc.)

Many members said that it would be helpful if we block off days for social events early on so that people can plan around them; however, those with sports often do not know their schedules until pretty last minute. To try to work around this, we decided to send out a DoodlePoll or some sort of form to see what time of day and what day of the week would be best for people. Additionally, the social chairs and the media chair came up with some really good ideas for the fall. We talked about doing things like an awareness walk, having political speakers come in, holding mock debates, fundraising for organizations like H4H, SBP, and Spastic Society. Hopefully, in the fall, we can pick up from where we left off and follow through with some of these ideas! We concluded the meeting with the basketball tournament.
